Which documents do I need for a student visa, and in what order do I collect them?

The document set splits into four groups, and they cannot be collected in parallel. Academic records come from your board or university, identity documents from government offices, financial evidence from your bank, and the No Objection Certificate from the Ministry of Education — but the NOC requires the offer letter and fee evidence, so it comes near the end rather than the beginning.

Several of these depend on each other and several of them expire. Collecting them in the wrong order is how students pay twice.

The order matters — several documents require another document to exist first, and getting the sequence wrong adds weeks.

Step by step

  1. Permanent records first, in bulk

    Transcripts, certificates, migration and equivalence. These never expire, they take the longest, and every later step needs them. Order multiple originals in one visit.

  2. Apply, then get the offer letter

    Nothing downstream can start without it. The NOC is granted against a specific course, the bank lends against a specific course, and the visa is for a specific course.

  3. Dated evidence and the NOC last

    Bank certificate, police clearance, medical and the NOC, timed so they are still valid when you lodge. This is the phase where getting ahead of yourself costs money.

What it costs: Students are told to prepare early, so they collect everything early, and then find that the bank certificate is too old to lodge, the police clearance has aged out, or the medical examination needs redoing. Collecting documents in whatever order they are easiest to get

What it costs: You reach the end and discover a document you needed first has to be reissued, restarting a queue you already waited in.

Instead: Work the sequence backwards from the visa application deadline.

Ignoring a name spelling difference between passport and certificates

What it costs: The application is questioned or returned, and correcting an academic certificate is far slower than correcting an application.

Instead: Check every document uses the same spelling before you submit anything.

Alternatives, and the trade-off

  • Paying someone to assemble the set

    Better when: When the case has a genuine complication — a gap, a name change, a lost certificate — rather than for routine collection.

Questions people ask

What is the NOC and do I really need one?

The No Objection Certificate is issued by Nepal's Ministry of Education, Science and Technology to students going abroad to study. It is granted against a specific course at a specific institution and requires your offer letter, academic documents and evidence of how the study is funded.

It matters beyond the visa itself. Banks generally require the NOC before providing the student foreign exchange facility used to remit tuition fees abroad, so without it the legal route for sending your fees is largely closed. Treat it as a required step rather than optional paperwork.

When should I apply for the NOC?

After you have the offer letter and your funding evidence is in order, and before you need the bank to remit fees. In practice this puts it roughly two months before departure for most students, though processing times vary.

It cannot sensibly be done earlier because it is granted against a specific course, and leaving it later risks blocking the fee payment your enrolment depends on.

Which documents need to be translated into English?

Only those not already issued in English. Many Nepali institutions issue transcripts and certificates in English, and paying to translate an English document is one of the more common wasted expenses.

Where translation is needed it is normally submitted with the original attached, not instead of it, and usually needs notarisation. Whether further institutional or government attestation is required depends on the destination, so confirm before paying for the highest level as a default.

How long is a bank balance certificate valid?

It certifies a balance on a specific date, and destinations commonly expect that date to be recent — often within weeks of lodgement rather than months. Treat it as dated evidence and obtain it close to when you submit.

The certificate is also the easy part. What is actually assessed is the history behind the balance: how the money arrived, whether it can be traced, and whether it has been held long enough to be credible. That takes months to establish, so the funds need to be in place well before the certificate is ordered.

What happens if my name is spelled differently on my documents?

It creates a discrepancy that has to be resolved, usually with an affidavit or a correction from the issuing authority, and it can take weeks. Passport, citizenship certificate and academic records should all match.

Check this at the very start rather than at lodgement. It is one of the most common avoidable delays for Nepali applicants and one of the slowest to fix under time pressure.

Should I let a consultancy keep my original documents?

You should not need to hand over originals for an extended period, and where documents are submitted you should receive a written list of exactly what was taken and when it will be returned.

Recovering documents held by a third party can be slow and occasionally contested, and it is a recognised pressure point in disputes between students and agents. Provide certified copies where possible, and keep your own scanned set of everything.
